Appointment Booking in Botnira
Everything to do with scheduling lives under Appointments in the left-side menu -- your booking list, your availability, your appointment types, and your calendar connection, all in one place.
Four areas, one menu
Appointments
Your full booking list -- how many are booked, source, status, time and date, with appointment notes and the option to mark each one attended or not attended. Filter by date range, status or source.
Availability
Your weekly schedule, time off / vacation mode, and email reminder timing -- the rules that decide when a slot is actually offered to a customer.
Appointment Types
The kinds of appointments customers can book -- a built-in introductory call, or fully custom types you define -- available across phone, WhatsApp, SMS, email and website chat.
Calendars
Connect your Google Calendar so bookings stay in sync -- Botnira only offers slots that are genuinely open against what's already on your calendar.
The Appointments list
Every booking, regardless of which channel it came in on, lands on the main Appointments page -- you can see how many appointments are booked, where each one came from (phone, WhatsApp, SMS, email or web chat), its status, and the date and time. Each appointment can carry notes, and once it's happened you can mark it attended or not attended, which keeps your records accurate for follow-up or no-show tracking.
To find what you need quickly, filter the list by date range, status, or source -- useful for anything from "show me this week's bookings" to "how many WhatsApp bookings did we get last month."
Setting your Availability
Availability is where you define your weekly schedule -- the hours and days customers can actually book into. When you're out (a holiday, a vacation, a day off), vacation mode blocks that time from being offered as a slot without you having to manually remove availability day by day. You can also set the timing of email reminders sent ahead of a booking, so customers get a nudge before their appointment.
Calendar sync and your public booking page
Connecting your Google Calendar under Calendars keeps everything honest: Botnira checks your synced calendar before offering a time slot, so it only ever books into genuinely vacant time -- appointments you already have on your calendar from outside Botnira won't get double-booked.
Every account also gets a Botnira-hosted public booking page, in the format botnira.com/book/your-business-name. Share that link anywhere -- your website, an email signature, a text message -- and customers can see your appointment types and pick an open slot themselves, without needing to talk to your AI receptionist first. It's the same availability and calendar rules either way, whether a booking comes through that page, through a channel conversation, or through your AI receptionist directly.
How rescheduling works
When a customer wants to change their appointment, Botnira automatically looks up their existing or most recent booking and rebooks it based on your current availability and open slots -- no manual digging through the calendar required on your end. The customer simply asks to reschedule through whichever channel they're using, and Botnira handles finding a new slot that actually works.
