How to Train Your AI Receptionist in Bot Studio
Bot Studio is where you build your AI receptionist's brain. This is the single most important step in setup -- Botnira only answers from what you give it here, so what you write is exactly what your customers will hear.
Getting to Bot Studio
Every vendor (business account) can reach Bot Studio three ways:
- Go directly to botnira.com/app/bot
- Click Studio in the left-side menu of your dashboard
- On your dashboard home, use the Next Steps section shown right after you log in -- it links straight to Bot Studio
Set up your AI receptionist in Bot Studio
Name your receptionist
Give your AI receptionist a name. This is how it refers to itself with callers and chatters.
Write a greeting message
Set the greeting every caller or chatter hears first -- this is the first impression of your business.
Set a tone
Choose how your AI receptionist should sound -- friendly, professional, or whatever fits your business best.
Write your business description
This is where you control your AI employee. Botnira only delivers answers from this content, so it's the core of your setup. Write it in plain, natural language -- there's no fixed format or bound on how you phrase things. For example:
"If any customer asks for a discount, you can give them 5%."
"If any client asks about a payment link, send them this one: [link]."
You can add as many instructions like this as your business needs -- pricing rules, policies, what to say about specific services, how to handle common requests.
Set a fallback message
This is what your AI receptionist shows or says when the answer isn't in your business description or FAQs. It keeps every conversation ending in something useful -- a message captured, a hand-off to a human -- rather than a wrong guess.
Add FAQs (optional)
FAQs are for anything that needs an exact, static answer every time. If you want a specific question answered word-for-word the same way, add it here instead of relying on the business description.
Test in Live Preview
On the right side of the screen, use Live Preview to try out your setup and see how your AI receptionist actually responds. Adjust your business description right there and watch the preview update.
You only write this once, in one language
You don't need to translate anything yourself. If a customer writes or speaks in a different language than the one you trained in, Botnira translates and responds in their language automatically -- your business description and FAQs stay in whichever language is easiest for you to write.
One-time setup, always editable
Training in Bot Studio is largely a one-time job -- once it's set up well, it keeps working without you touching it again. But nothing here is locked in: you can come back and edit your name, greeting, tone, business description, fallback message or FAQs at any time as your business changes.
Why training quality matters more than anything else
Botnira is built to never guess. If a question falls outside what you've written in your business description or FAQs, it falls back to your fallback message -- transferring to a human or logging a message rather than making something up. That's a safety feature, not a limitation, but it means how complete your business description is directly determines how many conversations your AI receptionist can handle on its own.
