Keeping Your Training Up to Date

Setting up Bot Studio is largely a one-time job -- but "one-time" doesn't mean "never touch it again." Here's when it's worth going back in, and how to do it without breaking what already works.

When to go back into Bot Studio

Signs it's time for an update

πŸ’²

Pricing or offers change

A price increase, a new discount, a promotion ending -- if it's not updated in your business description, Botnira will keep quoting the old terms.

πŸ†•

You add or drop a service

New services need to be described so Botnira can answer questions about them. Discontinued ones should come out, so they're not still being offered to customers.

πŸ•

Hours or policies shift

Seasonal hours, a new cancellation policy, a change in how appointments are handled -- anything that changes how your business actually operates.

❓

You keep seeing the same gap

If your team notices Botnira falling back to the fallback message for the same type of question repeatedly, that's a sign the business description or an FAQ needs to cover it.

πŸ“ˆ

Your business has grown

New locations, new team members handling hand-offs, new products -- as the business changes shape, the training should reflect the current version of it.

πŸ—“οΈ

It's just been a while

Even with no obvious trigger, a quick read-through every few months catches small drift before it becomes a pattern of wrong answers.

Updating without breaking what works

Edit directly in Bot Studio

Go back into Bot Studio the same way you set it up originally. There's no separate "edit mode" -- your name, greeting, tone, business description, fallback message and FAQs are all live and editable any time.

Change one thing at a time when you can

If you're updating pricing, just update pricing. Bundling in unrelated rewrites makes it harder to tell what caused a change in how Botnira responds, if something does shift.

Re-test in Live Preview

After any meaningful change, ask a few real questions in Live Preview -- especially ones related to what you just edited -- before considering the update done.

Check your FAQs for the same change

If the update affects something you also have as an FAQ entry, update both. A stale FAQ can override an otherwise-correct business description for that specific question.
